TL;DR
Cut attendance input delay from 10s → 1.5s
Removed daily check-in queues
Turned paper-based HR into a fully digital workflow
Improved clarity (payslips, overtime, requests)
Background & Context
Every morning, employees lined up in front of a fingerprint scanner, not because they were late, but because the system was.
That small queue revealed a bigger problem. While attendance had gone digital, The HR department was burdened with managing hundreds of employees and almost everything else in HR was still running on paper, leave requests, reimbursements, even internal communication.
It wasn’t just inefficient. It felt disconnected, recognizing this inefficiency, my team initiated a project to develop an integrated HR application. I was involved from the ground up, beginning with problem discovery, competitor analysis, and researching suitable digital attendance technologies.
Problems
At first glance, the system looked fine. But once we looked closer:
Data didn’t sync reliably
HR had to manually compile information from different sources
Tax and insurance calculations were prone to errors
Fingerprint devices created physical queues
Paper forms slowed approvals
Overtime was hard to verify
Payslips were unclear
Key Problems:
Daily productivity loss
Financial risk from miscalculations
No reliable, real-time view of data
Objectives
The goal wasn’t to move paper into screens.
It was to make the whole system simpler and actually usable:
Reduce manual work
Improve accuracy
Remove attendance friction
Give employees something clear and easy to use
Constraint
During the brainstorming phase, we faced challenge
We had a few technologies to choose from:
Keep the fingerprint system
Use office Wi-Fi for check-in
Or move fully to mobile with face recognition and geolocation detector
Each option had trade-offs accuracy, security, and convenience.
Then during testing, we hit something important:
The attendance system took 10 seconds to process.
It sounds small, but in reality, that pause creates hesitation especially when many people are checking in at the same time.
Solutions
We decided to go with a mobile-first approach.
Instead of relying on hardware, we used:
Face Recognition for identity
Geolocation for location validation
Key Decision
Changed the attendance system from fingerprint to face & geolocation
Optimized flow for fast attendance
We built HR+, a system that fits into how people already behave using their phones.
What it includes:
Digital attendance (face + location)
Real-time payslips
Leave requests from anywhere
Verified overtime tracking
Verified reimbursement
But the real focus wasn’t just features it was how the system felt. We improved the flow and reduced the delay:
10 seconds → 1.5 seconds
That change alone removed most of the friction.
Conclusion
After launch, things felt different almost immediately. With a 1.5-second response time and a 25-meter geofence, employees could check in naturally no lines, no waiting.
What changed:
No more queues in the morning
Employees handled HR tasks directly from their phones
Payslips became clear and accessible
HR moved from manual work to real-time monitoring
What started as a small observation a queue in front of a machine ended up reshaping the entire workflow.
